Access Completed SPAD and ICE Forms in AEFIS
This guide shows how to find, view, and export completed SPAD and ICE forms in AEFIS. Step 1: Click the AEFIS sign-on link on the myStevens AEFIS intranet site (https://my.stevens.edu/assessment). Step 2: Sign into AEFIS using the Stevens Single Sign-On (SSO) option. Step 3: Locate the My Data Collection Forms widget on the dashboard. Step 4: In the My Data Collection Forms widget, select the Widget Options button (three vertical dots icon) and select the Completed Forms option. Step 5: To view a completed Data Collection form, select View Form (the eye icon). The graphic you would see in Workday appears at once below this step. Step 6: In the upper right corner of the screen, there are four buttons: Manage Artifacts (the file cabinet icon), Show History (the clock icon), the Export dropdown menu, and the Exit Form button. The graphic you would see in Workday appears at once below this step. Step 7: To export the completed form, open the Export dropdown menu and save the information in the desired format. Access Individual Course Evaluation Responses in AEFIS
This guide shows how to locate, interpret, view, and export course evaluation responses in AEFIS. Step 1: Click the AEFIS sign-on link on the myStevens AEFIS intranet site (https://my.stevens.edu/assessment). Step 2: Sign into AEFIS using the Stevens Single Sign-On (SSO) option. Step 3: On the AEFIS homepage, locate the My Course Evaluations widget. Step 4: The My Course Evaluations widget will show a list of the instructor’s Course Sections, the Course information, the date the evaluation closes, the percentage of responses and the number of students who have completed the evaluation. Step 5: To view Course Evaluation results, select the blue circle with the three dots icon. Step 6: Select the Graph icon to view results. Step 7: To view individual anonymous student results, select the blue View Individual Results button. Step 8: Select the Browse Results drop-down menu to view results for each student. Step 9: Export student responses by selecting the Export drop-down menu and choosing from one of the CSV, Excel, or PDF options. Step 10: If a course section evaluation has fewer than three responses, the instructor will not be able to view those evaluations. These evaluations will be marked with a red exclamation point icon with the description, “Min. Responses Not Received.” Experiencing an issue or need additional support? Access Student Course Evaluation Comments Analysis Reports in AEFIS
This guide shows you how to find, generate, and edit Student Course Evaluation Analysis Reports in AEFIS. Step 1: Click the AEFIS sign-on link on the myStevens AEFIS intranet site (https://my.stevens.edu/assessment). Step 2: Sign into AEFIS using the Stevens Single Sign-On (SSO) option. Step 3: Locate the Reports widget on the dashboard. Step 4: In the Reports widget, locate the Student Course Evaluation Comments Analysis report and select the Generate Report icon (the blue pencil icon). Step 5: Choose the desired Report Parameters to filter the surveys, then select the blue Run Report button to run the report. Note: For best results, select the Report Parameters in this order: Term, College, Department, Course (if you wish to filter by a specific course), Instructor Type, Course Section, and Survey (choose the survey template that has run most recently). Depending on your AEFIS access, you may only be able to view your results as Instructor. Step 6: View the results on the following screen or select the Export dropdown menu to save the results in the desired format. Note: The comments provided by students in each course section are grouped together under the Course Information. Step 7: To edit the report parameters, select the blue Edit Report Parameters text. Step 8: This returns the user to the Report Parameters page. Edit the current report parameters fields or reset the report parameters by selecting the Reset Parameters button. Complete ICE Surveys in AEFIS for Instructors
This guide shows instructors how to access, complete, and submit ICE Surveys in AEFIS. Step 1: Click the AEFIS sign-on link on the myStevens AEFIS intranet site (https://my.stevens.edu/assessment). Step 2: Sign into AEFIS using the Stevens Single Sign-On (SSO) option. Step 3: The Action Items window will display the number of outstanding tasks requiring your attention, including Data Collection Forms. Select the View All Action Items button to expand the window. Step 4: The Action Items window will now display all available Action Items. To view specific results or complete a required form, select the blue pencil icon to the right of the item (in this example, the blue pencil icon next to the Stevens ICE Survey 2021 Fall). Step 5: Additionally, these forms are accessible on the AEFIS Dashboard. Locate the My Data Collection Forms widget. Step 6: In the My Data Collection Forms widget, locate the ICE Survey document and select the Continue Form icon (the blue pencil icon). Step 7: Complete the form for your course section. Any questions marked with a * (red asterisk icon) require an answer. Step 8: In the upper right corner of the screen, there are four buttons: Manage Artifacts (the file cabinet icon), Show History (the clock icon), the Export dropdown menu, and the Exit Form button. Complete SPAD Forms in AEFIS for Instructors
This guide shows instructors how to find, complete and submit a SPAD form in AEFIS. Step 1: Click the AEFIS sign-on link on the myStevens AEFIS intranet site (https://my.stevens.edu/assessment). Step 2: Sign into AEFIS using the Stevens Single Sign-On (SSO) option. Step 3: The Action Items window will display the number of outstanding tasks requiring your attention, including Data Collection Forms. Select the View All Action Items button to expand the window. Step 4: The Action Items window will now display all available Action Items. To view specific results or complete a required form, select the icon to the right of the item (in this example, the blue pencil icon next to the Stevens SPAD Form 2021 Fall). Step 5: Additionally, these forms are accessible on the AEFIS Dashboard. Locate the My Data Collection Forms widget. Step 6: In the My Data Collection Forms widget, locate the SPAD Form document and select the Continue Form icon (the blue pencil icon). Step 7: Complete a separate form for all your course sections. Any questions marked with a * (red asterisk icon) require an answer. Step 8a: The SPAD form is organized by outcome. For each outcome mapping displayed, please complete the following steps. This form must be completed for all your course sections. Enter the Total Number of Students (i.e., the number of students who were assessed for Student Performance Grade) and Student Performance Grade on the "Assessment Rubrics" tab. This tab is required for form completion. Note: When entering the Student Performance Grade, please omit any decimals as the system does not recognize that symbol. For example, a Student Performance Grade of 4.23 should be entered as 423. Step 8b: The course and the instructor are now evaluated on a 5-point scale (values 1-5) in AEFIS. Please enter the Student Performance Grade using the 5-point scale on this form. Refer to the scale conversion guide and use the provided Excel template for the scale conversion calculator: SPAD Grade Conversion Guide Step 8c: Enter the Assessment Instrument(s) used in the "Notes" tab. Also specify the statistic value (e.g., 25th percentile, average, etc.) used for Student Performance Grade in the "Notes" tab. This tab is required for form completion. Step 8d: It is recommended but not required to include the sample student work on the “Examples of Work” tab. You can upload three types of student work (average, poor, good) to support your assessment. Please add the word “average”, “poor” or “good” to the corresponding file name of each file you upload. Note: Steps 8a through 8d should be completed for each Student Outcome shown on the form. Complete each step for every outcome before submitting the form as complete. Step 9: In the upper right corner of the screen, there are four buttons: Manage Artifacts (the file cabinet icon), Show History (the clock icon), the Export dropdown menu, and the Exit Form button. How to Access and Use AEFIS for Students
This guide assists students with logging into and completing student course evaluations in AEFIS. Step 1: Click the AEFIS sign-on link in the email you received in your Stevens inbox. Step 2: Sign into AEFIS using the Stevens Single Sign-On (SSO) option. Step 3: On the AEFIS homepage, click on your Action Items on the right side of the screen; select Surveys Available to Take. Step 4: Select the blue pencil icon to access the selected survey. Step 5: The Course Evaluation form will show the Course Name, Course Section, and the Academic Period in the top left corner. Step 6: The center of the form shows the student’s name and the number of sections and questions on the form. Step 7: Questions marked with a require an answer. While all other questions are optional, answering all questions provides beneficial feedback for your instructors. Step 8a: Select Continue Later if you would like to continue your form later while the form is still in progress. Step 8b: A pop-up window will appear asking if you would like to CANCEL and continue with the evaluation or SAVE AND CLOSE to save your responses and finish later. Step 8c: Another pop-up window will display, informing you that your evaluation responses were saved. Note: The pop-up window will also provide a reminder of the Course Evaluation deadline. Step 9: Review all answers to ensure they are filled out completely and select the I’M FINISHED, SUBMIT button. Experiencing an issue or need additional support?
