How to Access the My Tasks Archive in Workday
Users can access their Workday My Tasks Archive to check on the status of Closed Course Section requests, Course Section Pre-requisite Overrides, Program of Study changes, and other types of requests. Step 1: To access your My Tasks either: Select the My Tasks icon in the top right of your task bar on the Workday homepage OR Select Go to My Tasks in the middle of the Workday homepage Step 2: In the My Tasks menu on the left side of the screen, select the Archive tab. Note: The Archive displays items from the last 90 Days. To access historical items prior to the last 90 days, see Step 6. Step 3: Select an item in the Archive. The Details tab displays information about the action taken. Step 4: The Process tab shows the Process History: Steps Completed and Steps Awaiting Action. Step 5: The Remaining Process button provides details on the Remaining Steps that will be taken before the process is complete. Step 6: To view previous items not listed in the My Tasks archive, enter View More Processes in the search bar at the top of the screen, then select the “View More Processes” report. Step 7: Enter a Start Date and End Date to view processes from a certain period. To view all past processes, leave the Start and End Dates blank. Select OK. Step 8: The View More Processes page shows historical information: the type of Business Process, Status, Initiated On date, Completed On date, and Tasks I Worked On. Step 9: Click on a column and filter the results based on a series of criteria presented in each column: Sort Ascending, Sort Descending, Filter Condition, or Value. My Tasks vs. Notifications in Workday
My Tasks My Tasks includes tasks, approvals, due dates, and other items for you to review and complete. These actions can only be completed from your My Tasks icon. Please note that My Tasks is the new name for the Workday Inbox. Step 1: To access your My Tasks either: Select the My Tasks icon in the top right corner of the Workday homepage OR Select Go to My Tasks in the middle of the Workday homepage Step 2: Select All Items to view a list of current items that are in progress or awaiting approval. Select Archive to view My Tasks history. Note: Filter My Tasks and Archive items by selecting the Display Options () icon. Notifications Notifications alert you of specific progress in a task workflow. Notifications are updates separate from My Tasks. No action is required from a notification. Step 1: Select the bell icon in the top right corner of the Workday homepage. Step 2: Select a notification listing to view the full notification. Note: Filter inbox items by selecting the Viewing: drop-down and Sort By: drop-down menus. Step 3: Select the blue circle next to a notification listing to mark it as read. Alert vs. Error Messages in Workday
This article will walk a user through the differences between Alert and Error Messages in Workday. Alert Messages An orange alert message appears on a screen in Workday when a potential issue exists. The alert enables you to continue with the task you are trying to perform without having to resolve the issue. The alert message typically appears at the top of the screen as well as next to the field or object causing the alert message. For example, if a student tries to add a course to their academic plan for an academic period in which the course is not typically offered, Workday displays an orange alert message. While not recommended, the student can proceed without resolving the issue. Error Messages A red error message appears on a screen in Workday if the user does not fill in all required fields or complete all required actions. Until the user resolves the error(s), they will not be able to proceed. The error message typically appears at the top of the screen as well as next to the field or object causing the error message. For example, if a student tries to register for a course where they do not meet the academic requirement(s), they will not be able to continue registering for that course. How to Delegate My Tasks in Workday
Step 1: Select the My Tasks icon on the Workday homepage. Step 2: Select Manage Delegations in the My Tasks menu on the left side of the screen. Step 3: Select Manage Delegations. Note: You can access current task delegations, historical delegation information, specific delegated tasks, and other information by click on the additional tabs. Step 4: Select Begin Date to enter a start date, End Date if the task will be delegated for a specific amount of time, Delegate to search for peers, superiors, and subordinates, and select Alternative Delegate to assign additional alternative delegates. Note: Select Use Default Alternate to only assign one delegate. Step 5: Select Start On My Behalf to select tasks for the delegate – Select Do My Tasks On My Behalf to designate business processes for the delegate – Select Designation Rule to search and use delegation rules associated with the business process selected. Note: Select Retain Access to Delegated Tasks within My Tasks to retain access. Step 6: Select Submit. Note: There is an additional step in this process where a Human Resources representative will acknowledge these delegations. Once this is completed, the delegations will take effect. How to Create and Apply Inbox Filters in Workday
This guide will walk users through the process of creating filters in My Tasks in Workday. These customizable filters allow you to quickly sort through all the items in the My Tasks screen. Create My Inbox Filters in My Tasks Step 1: Select the My Tasks icon from the top navigation bar of the Workday homepage. Step 2: Open the Filters menu on the left side of the screen. Select Manage Filters. The graphic you would see in Workday appears immediately below this step. Step 3: Select the Create Inbox Filter button. The graphic you would see in Workday appears immediately below this step. Step 4: Enter a title for the inbox filter in the Description field. Select whether you want to return all business processes or only a specific kind in the View Definition section. Note: Tasks include actions in the system such as Approvals and To Do’s. You can select the prompt icon and select task(s) to search by select task type. Select + icon to add Conditions to the inbox filter. Step 5: Select OK. Step 6: Select Done. Apply Inbox Filters Step 1: Select the My Tasks icon from the top navigation bar of the Workday homepage. Step 2: Open the Filters menu on the left side of the screen and select the desired filter. How to Change My Emergency Contacts in Workday
A guide walking a user through changing their Emergency Contacts in Workday. How to Edit My Emergency Contacts Step 1: Open the Global Navigation menu (the icon) on the left side of the Workday Today homepage. Step 2: Select Personal Information in the Apps section of the Workday homepage. Step 3: In the Change column, select Emergency Contacts. Step 4: To edit current Emergency Contact information, select the Edit button. Step 5: Find the section you wish to edit and select the pencil icon to make changes. (In this example, the Legal Name of the Primary Emergency Contact will be changed, but you can also change Relationship, Preferred Language, Primary Address, Phone, Email, etc.) Step 6: Complete the required (*) fields and add any optional information. To save your changes, select the checkmark () icon. Step 7: Once you have completed all changes, select the Submit button. Step 8: The process is now complete. How to Change My Personal Information in Workday
This article will walk a user through changing their Personal Information in Workday. Step 1: Select your profile image on the Workday homepage, then select View Profile. Step 2: Select Actions, then open the Personal Data menu and select Change My Personal Information. Step 3: Select the pencil tool for each section you want to update. Note: If you need to input military service, select Add. Step 4: Select the appropriate information, then select the check mark icon. Step 5: Select the Select Files button or drop a file in the Attachments section. Note: Supporting documents required for each personal information change are listed at the top of the page. Step 6: Select Personal Information Verification for the Category field, then select Submit. Valid documentation must be one of the following: marriage license divorce decree court order showing legal name change If only adding your middle name and not changing it you may provide a state drivers license Step 5: Select Legal Name Change for the Category field. How to Change My Home Contact Information in Workday
This article will a user through changing their Home Contact Information in Workday. Step 1: Select your profile image on the Workday homepage, then select View Profile. Step 2: Select Actions, then open the Personal Data menu and select Change My Home Contact Information. Step 3: Select the pencil tool to add contact information in each section. Please note: If you set an Effective Date in the future, your home contact change will not take effect until the date has been reached. If you require the home contact change to take effect immediately, please use today's date. Step 4: Select the check mark icon to save your changes. Step 5: Select the Submit button. Step 6: Select View Details for more information on completed actions and next steps – Close the request in the upper right corner. Note: If you have an active campus job, an approval is required, and a member of the Division of Human Resources will review your home contact information change.
