Panopto Instructor Guide
Panopto is a cloud-based video content management platform which allows you to create, edit, manage, and share video content. Here is a video recording of the lastest Panopto training session. What is Panopto? Panapto Quiz Best Practices Here are some best practices to use when creating a Panopto video quiz: Rename video to add quiz in the title to help identify a video with a quiz attached. If having a grading quiz do not embed the video quiz in the assignment description use the external tool option. Have multiple correct answers for a fill in the blank question ex. New Jersey and NJ should both be acceptable answers in the question settings. If you want questions at the end of your video allocate some dead space to accommodate for questions. An individual quiz attempt cannot be reset, nor can you allow a retake for a single student. The total number of attempts for all students is controlled in the Assignment settings. Make sure to set the Video Viewer interactivity option to "None" instead of "All" to make it more difficult to skip to the next question. In the Video Viewer options, uncheck the option "Enable 'Watch in Panopto'" to enhance quizzing security. Panopto and Zoom Integration As of May 18, 2022 the Panopto and Zoom integration is enabled for all users. allows all recorded Zoom meetings to be automatically added to the Panopto video library allows for online editing allows smart searching of audio and onscreen text provides control over sharing and the ability to add other Panopto features to the recordings Note: If you access Zoom within a Canvas course, your Zoom recording should save to the course folder in Panopto. If you access Zoom outside of Canvas, your Zoom recording will save to the Meeting Recordings sub folder in your Panopto My Folder. Kaltura to Panopto Migration
The Division of Information Technology recently announced that beginning Fall 2022, the Stevens community will be able to utilize a new Video Content Management System (VCMS) powered by Panopto to create, edit, manage and share video content. To prepare for the transition from our current video platform Kaltura to Panopto we would like to point out some important dates: Spring 2022 - Early Adopters Program April 11, 2022 - Content Migration Start May 18, 2022 - End of Spring Semester 2022 - Kaltura Becomes View Only May 19, 2022 - Second Stage of Content Migration July 2022 - First Round of Content Migration Completed November 2022 - Final Stage Content Migration December 31, 2022 - Kaltura Decommissioned For a more detailed description of the above titles please visit the Panopto Project Plan page. Note: Videos that were successfully migrated to Panopto are located in a newly created migration folder for each user. What video assets will migrate from Kaltura to Panopto? The following assets will migrate from Kaltura to Panopto: Video Files. Audio Files. Closed caption files and transcripts. Kaltura playlists. PowerPoints (will be converted to video files). Keynotes (will be converted to video files). Video tags. Video descriptions. What video assets will not migrate from Kaltura to Panopto? The following assets will not migrate from Kaltura to Panopto: non-media items discussions PDF's pictures/photographs document attachments notes video comments video links in-video quizzes video analytics video permissions Images from Kaltura also will not migrate to Panopto. If users need images from the Kaltura Management Console, please contact support@stevens.edu. In-video quizzes will not be migrated over please see How to add a quiz to a video to add new questions to a Panopto video. Youtube videos in Kaltura will not migrate to Panopto. Users will need to embed the YouTube video into Panopto. Panopto also does not caption Youtube links. Users cannot create a Panopto video that is purely a link to a Youtube video. Users must embed Youtube videos into an existing Panopto recording. Kaltura Folder names will not migrate to Panopto. Picture-in-pictures videos of Kaltura Capture content will not migrate to Panopto. It is recommended that users take a screen recording of the Kaltura Capture video and upload it to Panopto. Logging into Panopto Step 1: Navigate to Panopto Step 2: Enter your Stevens credentials. Navigating to your folder with imported Kaltura content Note: If you do not see your user id folder with migrated content listed in My Folders, please contact support@stevens.edu for assistance. Note: If you are listed as a Co-Editor or Co-Publisher with any Kaltura videos, you must request access to the Owner's video folder. Step 1: On the Panopto homepage, select My Folder in the left-hand navigation. Step 2: You should see a Kaltura Migrations folder under the My Folder. select Kaltura Migrations Note: It is recommended you change the folder permission settings for who can access to "Your Organization (unlisted) so that content may be freely embedded anywhere in the LMS. Under Kaltura Migrations will be all your migrated Kaltura content processed by IT. Viewing Kaltura content in Panopto Kaltura Playlists Kaltura playlists will appear in your Kaltura Migrations folder. If you need assistance locating your Kaltura playlists or have questions about Kaltura playlists, please submit a ticket and provide the name of your Kaltura playlist. Note: The playlist icon shown in front of the Playlist title. Video Tags and Descriptions Video tags and descriptions will display in the corresponding video (only the first 10 tags will appear). Closed Captions Videos with closed caption files will display with a closed caption icon. Users can download the closed caption file. Audio Only Videos Audio only videos will display a play button in the center of the video. Managing Videos in Panopto Now that you have located your media assets, it is time to copy or move them into the correct Canvas course folders. This will enable your students to view or for you to embed them throughout the Canvas course space. Step 1: Select one of the migration sub folders Step 2: Select the check boxes on the videos you would like to copy. Once you select one video you will see a box appear at the top of the list allowing you to select all of the videos in the folder. Step 3: Select the copy button at the top of the page. Choose the Canvas course you would like to copy the videos to from the drop-down menu. Step 4: Once a Canvas course is selected you will see a red Copy button appear. Select this to copy the videos into the Panopto Recordings folder for that Canvas course. You will see green progress bars and finally a green check mark once the copy is complete. Now that you have copied the videos into the correct Canvas course folder, you can view the videos in the Panopto Recordings tab in your Canvas course. Note: To enable this tab, select the settings and enable Panopto Recordings. Select Save. How to update your Kaltura video to a Panopto video
Updating Kaltura video links to Panopto video links inside Canvas Step 1: Log into the Canvas course where you will be replacing the video. Locate the video you will be replacing. Step 2: Click on the Panopto Video link from your course navigation menu, then click the arrow to expand the folders list, select the folder your updated video is located in. Note: If you do not have the Panopto Video link in your course navigation menu please add it from your course settings navigation tab. Step 3: Locate the updated video and click on share button. Step 4: Click on change in the Who can access this video option at the bottom of the page and select the access option you would like. Note: If you want to share with only the users in the course choose Your Organization (unlisted). If you want to share with anyone at Stevens even outside your course choose Your Organization. Step 5: Make sure the link icon is selected, then click the copy link button. Step 6: Go back to your Canvas page to the video we will be replacing and click on the three dots to the right of the video title and then select Edit. Step 7: Paste the new URL in the URL box and click on Update. Updating embedded Kaltura videos to embedded Panopto videos inside Canvas Step 1: If you are replacing an embedded video, locate the video you are replacing click the Video title. Step 2: Then select Edit Step 3: Delete the existing video, then click on the plug icon in the text editor menu then select Panopto, if you do not see Panopto select view all. Step 4: A pop-up window will appear that includes all your apps. Search for and click your Panopto application to open the Panopto window. Step 5: Choose an existing recording or click the arrow to browse and search through your available folders. Select the video to embed. Note: You can embed a video from any of your Panopto folders, and when students click on it, they'll be able to watch it. Step 6: Click on the arrow to the right of video embed options to choose your embedded player preferences and select insert. Step 7: Your video will be embedded as the new item, then scroll to the bottom of the page and select save. If your Kaltura videos have not been migrated to Panopto you must first move them from Kaltura to Panopto. You will need to authenticate using your Stevens credentials. Step 1: Click on login from the top right side of the screen, then click login again from the drop down menu and input your Stevens credentials. Step 2: Once logged in you can now select your name and click on My Media. Step 3: You will now see your list of videos, locate the video you would like to add and click the pencil icon on the far right side of the video title. Step 4: You are now on your video's media page. Click on the downloads tab. Step 5: Make sure that the source box is checked click save and then select Go To Media. Step 6: Once back to the media page scroll to your video tabs under your video and select the Download tab and then select the Download icon under the actions column. How to copy a Panopto course folder in Canvas
Learn how to copy your Panopto course folder in Canvas from one semester to the other or from one course to another course. Step 1: Copy your Canvas course content following one of the course copy options below: Copy All Course Content Copy Specific Content Please note: We recommend copying all course content only if there are no scheduled Zoom sessions in your previous Canvas shell. Once your course copy has been completed you can follow the below steps: Step 2: To copy the Course Folder in Panopto, from the target course click Panopto Video from the left navigation menu Step 3: Then select the Settings icon, which looks like a cog wheel, in the upper right-hand corner. Step 4: On the Overview tab of the folder's settings, scroll down to Course Video Copy and select Choose source folder. Step 5: On the Previous course folder dropdown that appears, locate and select the source course folder that you want to be copied into this new course folder. Please note: Users will need Creator access to the original course folder in order for it to appear as an option on the Previous course folder dropdown menu. As such, new instructors teaching a course that has been created with copied content will need to reach out to their administrator for further assistance. Prior to starting the course copy, you can select the checkboxes for the following options: Include Zoom videos: Any Zoom recordings from your original course folder will be copied to the new course folder. Please note: If you copy a Zoom meeting in Panopto, the copy will not retain the tag that designates it as a Zoom meeting. If including Zoom video recordings, they should follow the recommended student privacy guidelines. Include scheduled recordings: Any scheduled recordings from your original course folder will be copied to the new course folder. Step 6: Select Begin folder copy to start the copying process. The selected folder will begin to copy into the new course folder. Please note: The amount of time it will take for the course copy to complete depends on the amount of content in the original folder. Generally, most course copy operations should be completed within 24 hours. If your course copy takes longer than 24 hours to complete, please contact support@stevens.edu. Panopto Retention Policy
On July 1, 2025, the Division of Information Technology will implement a retention policy of automatically archiving all Panopto video content that has not been viewed in the past 12 months. Users will be able to retrieve archived content. This policy outlines the retention period for video content stored in Panopto as well as guidelines for managing content with this policy. Why implement a retention policy? Implementing a retention policy for Panopto is necessary to meet financial needs by managing costs and anticipating future storage costs. Panopto’s updated pricing structure now charges for video content across three categories: created hours - hours of video that is recorded or uploaded into our Panopto library stored hours - total number video hours stored in our Panopto library, including videos in the Recycle Bin archived hours - total number video hours that are moved into our Panopto Archive folder. This content is searchable by viewers but may require up to 48 hours to retrieve for viewing. Previously, charges were based only on hours of newly created videos and hours viewed. With the new model, any excess hours in these categories will incur additional costs for the University. By implementing this retention policy, we aim to optimize storage use, reduce storage costs and more effectively manage the volume of retained content. What is the retention policy? To ensure efficient use of storage and manage costs, the Division of Information Technology will implement an automatic 12-month rolling retention policy for Panopto content: All content that has not been viewed in the past 12 months will automatically be archived. This content is retrievable and will require up to 48 hours for the content to return. Retention Schedule On July 1, 2025, Panopto videos that have not been viewed in the past 12 months will be automatically archived as per the next round of implementation of the Panopto Retention Policy. This applies to all video content in Panopto. Current Enforcement Next Enforcement Following Enforcement July 1, 2025 July 1, 2026 July 1, 2027 FAQs about the Panopto Retention Policy What content is included in the retention policy? The retention policy will be applied to all videos stored in Panopto. This includes any videos imported from Zoom, videos from Canvas courses, and recordings from My Folder. What is the retention policy schedule? Currently the retention policy will be applied to all videos stored in Panopto on an automatic 12-month rolling schedule. What if I have a recording embedded in an active course? If a user views an archived recording in an active course, they will see the following message: “This video has been archived and must be restored from the archive before it can be viewed. Restoring the video may take up to 48 hours”. How do I find archived recordings? Users can find archived content from within their Panopto folders, by searching for them, or by attempting to view an archived video from within the Panopto Viewer of the Panopto Embedded Viewer. You can include archived videos in your search by selecting the “Include Archived videos” icon, which looks like a file box, in the search filter. Archived content will appear with the thumbnail image greyed out with the Archive icon over it. How do I restore archived recordings? Recordings can be restored after users select the “Restore from Archive” button. Videos will then be accessible within 48 hours of request. Panopto Viewer: Panopto Embedder Viewer: Archived content that is in the process of being restored will not show the “Restore from Archive” option but will display the following message instead: “Video restore from the archive started (archive start date and time). Video will be available for viewing in (time remaining until the video is restored)”. If a video is restored, it will appear in its associated folder once it is ready to view. For more information view Panopto’s documentation on How to Restore Archived Content. How can I download/backup recordings? You can download Panopto recordings individually as MP4 files. Can I manually archive a video? Yes, you can manually archive videos that you are the creator of. Will I receive a notification before my content is archived? No, unfortunately users will not receive a notification before their Panopto video is archived. However, when an archived video is restored, the creator will receive an email with a link to the restored video and information about who performed the restoration. Will archived videos be permanently deleted after a certain period? Currently, archived videos will not be deleted. Experiencing an issue or need additional support?
