Microsoft Copilot with Data Protection
Learn about Microsoft Copilot with Data Protection, a generative AI-powered platform designed and created specifically for organizations. Stevens students, faculty, and staff have access to the web browser version (only on Microsoft Edge and Google Chrome) of Microsoft Copilot. Microsoft Copilot with Data Protection, previously called Bing Chat Enterprise, ensures that organizational data is secured and protected against threats. At this time Stevens users have access to only Microsoft Copilot generative AI web browser version (Microsoft Edge and Google Chrome). Licensing information regarding Copilot for Microsoft 365 is coming soon! Getting Started Visit copilot.microsoft.com and log in with your Stevens credentials. When signed in, look for a message confirming “Your personal and company data are protected in this chat” above the chat input box to ensure you are using Copilot with Data Protection. Copilot with Data Protection is currently available in Edge (desktop and mobile) and Chrome (desktop), with support for other browsers coming soon. It is not supported on the Bing mobile app for iOS or Android. Choose Conversation Mode: Once launched, Copilot will show you three conversation modes to choose from: More Creative - The output will be more imaginative and inventive but might lack accuracy. More Precise - The output will be highly accurate and detailed, but may not be as creative. More Balanced - The output will be a blend of both creativity and accuracy, balancing the two aspects. Choose the option that best suits your requirements. Tips for Using Copilot with Data Protection Be cautious - Copilot with Data Protection users are not allowed to enter internal sensitive, high-risk, or personal information. Log in - Always confirm you are logged in with your Stevens credentials to ensure your data is protected. Staff use - Content generation, data analysis, document summarization, learning new skills, writing code, and more. Faculty use - Aid development of personalized learning, lesson planning, brainstorming, summarizing, and more. Student use - Brainstorming, summarizing, learning new skills, and more. Step 2: From their contact card, you can view their Organization by clicking on the icon, tab or show organization link. View on Outlook Step 1: Search for an individual in Outlook and select their contact card or double-click on their name directly from an email to view their contact card. Step 2: From their contact card, you can view their organization by clicking on the organization tab or viewing their organization summary at the bottom of the card. Embedding Fonts in PowerPoint Files to Display the Saira Fonts Properly When Sharing Files on Mac
Learn how to embed fonts into Microsoft PowerPoint files on Mac devices to ensure consistent text appearance across different devices and platforms. Before You Start Be sure to have the Microsoft PowerPoint application installed on your Mac device. Embedding Fonts in PowerPoint Step 1: In the PowerPoint dropdown menu, select Preferences. Step 2: Click the Save icon under Output and Sharing. Step 3: Under Font Embedding, check the box that says, "Embed fonts in the file". You may choose to embed characters only in the presentation or embed all characters, depending on whether you expect others to add to or change the presentation. Step 4: Exit from this screen. Step 5: Save your file by accessing the top left toolbar. When you save your document, you will see this warning message that “System Font Regular” is not available. Ignore it and save it anyway. Before You Start Be sure to have the Microsoft PowerPoint application installed on your Windows device. Embedding Fonts in PowerPoint Step 1: In PowerPoint, Click on the File tab in the top left corner. Step 2: In the left column, scroll down and click on More, then select Options. Step 3: A new window will open. Click the Save option on the left panel. Step 4: Scroll down until you see “Preserve fidelity when sharing this presentation”. Step 5: Click on “Embed fonts in the file” and select the section option to “Embed all characters (best for editing by other people)”. If you don’t expect others to edit the document, you may choose “embed only the characters used in the presentation. Step 6: Click OK. Step 7: When you're ready to save the presentation, you will see this warning message that “System Font Regular” is not available. Ignore it and save it anyway by pressing OK. How to Use Mailbox Archive
Learn how to use your mailbox archive through Outlook's Web, Windows, and MacOS applications. Accessing Your Mailbox Archive Step 1: Open your Outlook through the web, Windows, or MacOS application. Step 2: On the left-hand side of Outlook in the folder pane you will see a section labeled "In-Place Archive" under your primary mailbox. Step 3: Click on the archive section to expand it and view the folder structure. The archive will have a similar folder structure to your primary mailbox. This means that if you have folders like "Inbox," "Sent Items," and "Deleted Items" in your primary mailbox, you will see corresponding folders in your archive. This structure helps you easily navigate and find archived emails. Archive Policies Stevens offers two main archive policies: Default MRM Policy: With this policy, emails older than 2 years will automatically move to the "In-Place Archive" folder. This helps keep your primary mailbox organized and within size limits. Recoverable to Deleted Items Archive Policy: This policy requires you to manually move emails to the archive folder. However, some recoverable items will be moved to the archive automatically. 5-year Move to Archive Policy: If archiving is enabled on a mailbox with this policy, emails older than 5 years will automatically move to the "In place archive" folder. Searching Emails When you search for emails in your email client, the search will include both your primary mailbox and the archive. This ensures that you can find all relevant emails, whether they are in your primary mailbox or archived. Additional Information The auto-move policies create the same folder structure in the archive as in your primary mailbox. Archiving helps manage mailbox size and ensures that you can continue to receive emails and calendar invitations without issues. Experiencing an issue or need additional support? How to Add Preferred Pronouns to Your Microsoft 365 Profile
Learn how to add your preferred pronouns to your Microsoft 365 profile through Microsoft Teams and Outlook or your Google Account. Microsoft Teams & Outlook Step 1: Open your profile card in either Microsoft Teams or Outlook on the web. In Microsoft Teams, you can do this by selecting your profile picture located in the upper right corner of the Teams interface and then clicking on your name. In Outlook on the web, select your name or profile picture within Outlook Mail or Calendar (Note: The pronouns feature is not available in the My Account portal in Outlook.) Note: You may need to restart Microsoft Teams, your device, or sign out of Outlook web to get the Pronoun option to display. Step 2: On your profile card, click on the + Pronouns option or the pronouns listed below your name. Step 3: Add or modify your preferred pronouns. To remove your pronouns, simply delete the existing ones. Step 4: Select Save then select Got it, the changes made will be immediately updated. Google Step 1: Navigate to your Google Account page. Step 2: Select Personal info and then select Pronouns. Step 3: Adjust your preferred Pronoun settings, your changes will be saved automatically.
