Request Descriptions in Workday (Faculty/Staff)
This article describes the different types of requests faculty/staff can submit in Workday. For more information on how to create new requests, visit: insert article; for information on how to view existing requests, visit: How to Create and Review Requests Graduate Student Enrollment Changes Advisors must submit a Graduate Student Enrollment Change Request for any changes being made to a student’s enrollment after the Add/Drop deadline. All requests to enroll in a course after the Add/Drop deadline must be approved by the instructor, Graduate Academics & Student Success, and the Office of the Registrar. All requests to drop a course after the Add/Drop deadline must be approved by Graduate Academics & Student Success. Information must be provided on why this change is being requested in order to be considered for a full refund. Drops after the end of the drop/add period will be recorded as withdrawals (W) on the transcript. For Graduate Withdrawals: The signatures of the instructor, advisor and the Dean of Graduate Academics are required after the specified date in the academic calendar. Move Courses between Academic Records Students who need a course moved from one record to another, or need a course shared between two records, must have a Move Course Request put in by their advisor. These requests are most typically used for students in an undergraduate to graduate program or STEP students. You must indicate the course that needs to be moved, and the semester in which the course was taken. Report on Dissertation and Final Examination (Defense) For the Degree of Doctor of Philosophy The results of doctoral student’s dissertation defense must be submitted to Graduate Academics & Student Success. In the request, advisors should submit the paper form that has all of the necessary signatures and information completed. Report on Proposal Defense The results of doctoral student’s proposal defense must be submitted to Graduate Academics & Student Success. In the request, advisors should submit the paper form that has all of the necessary signatures and information completed. Report on Qualifying/Comprehensive/Preliminary Examination The results of doctoral student’s qualifying and/or preliminary exams must be submitted to Graduate Academics & Student Success. In the request, advisors should submit the paper form that has all of the necessary signatures and information completed. The oral and written portion of the qualifying exam can be put onto one form/request. The preliminary exam (if applicable) must be submitted on a separate form/request. Report on Thesis Defense for the Degree of Master Art/Science/Engineering The results of a student who has completed a master’s thesis defense must be submitted to Graduate Academics & Student Success. In the request, advisors should submit the paper form that has all of the necessary signatures and information completed. Undergraduate Student Enrollment Changes Drops after the end of the drop/add period will be recorded as withdrawals (W) on the transcript. Workday Student Glossary
This guide contains a list of Workday terms with accompanying definitions. Academic Level Academic levels include certificate program, doctoral, graduate, non-degree and undergraduate. Academic Period The reporting window or timeframe for courses held at Stevens. Academic periods include the fall semester, spring semester and summer semester. Stevens Synonyms: Semester, Term Academic Plan An outline of the requirements and courses a student has taken and intends to take each semester based on their program of study. Stevens Synonym: Study Plan Academic Progress An overview of a student’s progress toward completing their program of study. The report lists all the requirements that are met and still need to be met. Academic progress also shows satisfied academic requirements and cumulative GPA. Stevens Synonym: Degree Audit Tool Academic Requirements The necessary courses or academic guidelines that must be satisfied to complete a program of study. Examples of academic requirements include: minimum cumulative GPA, general elective requirement or completing a minimum number of courses in a specific program. Stevens Synonym: Degree Requirements Academic Standing An indication of a student’s scholastic performance based on their GPA and completed credits. Academic Unit The base configuration element of Workday Student, categorized as a(n) institution, school/college, department, or program academic unit. Academic units are critical to security configuration and the routing path of business processes in Workday. Examples include: Stevens Institute of Technology (as the institutional level academic unit), School of Engineering and Science (as a school/college level academic unit), Department of Mathematical Sciences (as a department level academic unit) and Pure and Applied Mathematics Program (as a program level academic unit). Course Section Course section refers to the specific offering a course that occurs during a specific semester. Course Section Location Location where a course section will be held. Cross-Listed Course A course with more than one departmental heading. For example, HAR 280 (Modern Art History and Theory) is also listed as HHS 280. In Workday it appears as: HAR 280/ HHS 280 - Modern Art History and Theory. Dashboards The visualization of worklets on a landing page. Worklets can be found on your Workday homepage under the Applications section. A dashboard can be customized to view, hide, and rearrange worklets based on user preference. Declare Date The date a student enrolls in or adds a program of study. The declare date is often the start date of the semester a student enrolls at Stevens. Eligibility Requirements a student must meet before enrolling in a course. For example, students must complete CS 181-Introduction to Comp Sci-Honors I or CS 284Data Structures before they can take CS 385-Algorithms. Stevens Synonyms: Pre-requisites, Co-requisites Expected Completion Date The approximate date a student should be expected to a complete a specific program of study. Grade Requirement The grade needed to earn units for a course, applied towards program of study. Inbox The Workday Student messaging system that informs the user of items that need to be reviewed and completed within the system. The Inbox can be accessed by clicking on the Inbox icon in the top taskbar. Notifications A series of alerts that keep the user informed of progress on tasks and actions taken within the Workday Student system. Notifications can be accessed by clicking on the bell icon in the top taskbar. Program of Study An academic area of focus for which students can pursue at Stevens. Each program of study is specific to an academic level. For example, students can pursue a Bachelor’s (academic level) in Computer Science (program of study). Stevens Synonyms: Major, Minor, Concentration, etc. Program of Study Status The status that appears next to a student’s Program of Study in Workday. Discontinued Student is no longer enrolled in this Program of Study. In Progress Student is currently enrolled in and actively working on this Program of Study. Institutional Withdrawal Student has withdrawn from Stevens and is therefore no longer enrolled in this Program of Study. Matriculated Student has accepted admissions to Stevens but has not enrolled in classes for this Program of Study. Task An assignment (sometimes part of a Business Process) that a user must complete within a Workday workflow. Transfer Credit Course credit granted for course work completed at an accredited college or university, per school policy. Units Stevens Synonym: Credits Universal ID Stevens Synonym: CWID Worklet A categorization of related reports displayed as an icon on a landing page. The worklet provides easy access to tasks and information that are used regularly. Worklet examples include: Advising, Employee Help and Support, Workday Student Reports, and Academics. Vehicle Usage Request in Workday
This guide will take a user through submitting the Vehicle Usage Request in Workday. Step 1: Open the Global Navigation menu on the left side of the Workday homepage. Step 2: Select Requests in the Applications section on the Workday homepage. Step 3: Select Create Request, select the Vehicle Usage Request in the Request Type field, and click OK. Step 4: Fill out the required fields in the Vehicle Usage Request form and click the Submit button at the bottom of the form. Your request will be routed to the Office of Environmental Health and Safety and Insurance Risk Management for review.
